Executive Assistant / Researcher

The job:

This position is not your usual EA role and whilst you will spend the majority of your time providing administrative support to the Chief Executive, you will also be required to conduct in-depth online research, often of a technical nature, and drafting documents and reports. This supports NCRQ in its overall mission to continue to develop and deliver high quality qualifications.

The position ideally will be full time however part time hours will also be considered (25 -36 hours negotiable at interview).

The ideal candidate may not necessarily have exacting qualifications for the role but we at NCRQ feel people can achieve great things if given the right opportunity and so we look for those who have what it takes to add value to our already high performing team regardless of their qualifications on paper.

The role involves interacting with a variety of internal / external customers and stakeholders and so the ideal candidate must have excellent written and verbal skills with experience of dealing with people over telephone, email and in person.

There will also be some financial and budgetary responsibilities.

Key responsibilities

  • Provide confidential and comprehensive secretarial / administrative support to the CEO

  • Diary management (both business and personal)

  • Time and workload management

  • Producing and collating confidential data, documents, letters and reports

  • Taking and distributing minutes

  • Information management and corporate filing

  • Respond appropriately to enquiries, requests and demands from all parties associated with the business on behalf of the CEO

  • Monitoring of corporate performance

  • Handling of confidential information with appropriate discretion and regard for the physical security of associated paperwork and electronic files

  • Conducting web-based research and compiling this into draft documents

  • Reconciliation of financial accounts

  • Monitoring of budgets and processing of expenses

  • Approving and executing bill payments

  • Provide administrative support to stakeholders and wider operational team

  • General office and administration duties

  • Occasional travel where required

  • Limited personal assistance

The applicant:

Full training will be given in all aspects of the job as we believe some things can be taught, however ideally the right candidate will have the following capabilities:

  • Awesome communication skills with a proactive approach to managing workload

  • Excellent IT skills including the use of spreadsheets and presentation software

  • A good comprehension of financial and performance data

  • Intelligent and logical approach to resolving problems

  • Strong interpersonal skills

  • The ability to quickly adapt to changing priorities

  • The ability to work under pressure to agreed deadlines

  • Excellent knowledge of office administrative systems and processes

  • Clear understanding of confidentiality and ability to manage sensitive data

  • Accountancy knowledge / background is desirable but not essential.

The benefits:

  • A competitive salary of £28,000 to £32,000.

  • 36 hours per week, with flexible start / finish times, or part time between 25 and 36 hours.
