NCRQ takes your privacy and the security of your information very seriously. This policy summarises what we do with your information and how we keep it safe.

Information that we require to do our work

We need to collect certain information from you to enable us to carry out our functions as a training provider and awarding organisation. The types of information that we collect and the justification behind it are given below:

Name, address, e-mail and telephone numbers To communicate with you in relation to your training and award of qualifications. We may also use your e-mail or address to send information about additional services from NCRQ only where consent has been explicitly given.
Date of birth To uniquely identify you as a student, and to verify your identity
Disabilities To ensure that we can meet your needs in relation to tutor support, to implement any reasonable adjustments for assessments, to process any requests for special consideration, and for ensuring that students with disabilities are not unfairly disadvantaged, as required under the Equalities Act and Ofqual Conditions of Recognition.
Occupation and ethnicity details To ensure that any group of students are not unfairly disadvantaged, as required by the Equalities Act and Ofqual Conditions of Recognition

We do not handle or process your credit card details. For payments, you are redirected via a secure link to our hosted payment provider.

As part of the validation interview, we will view your face and compare this with your government-issued photographic identification which we will ask you to hold up during a video call. These images are not stored.

Collection and storage

All of the information above is collected using an encrypted part of our website.

The information will be stored in an encrypted format on our databases in the UK.

The information will only be retained as long as is necessary to fulfil our educational functions. Information linking an individual to occupation, and disability information will be destroyed within six months of the enrolled qualification being completed, or if you are deemed to have abandoned your studies.

Disability and occupation details will be retained beyond this period only in statistical records, which are not linked to any individual. This may be used to monitor our performance and compliance with statutory and regulatory requirements. Occupation details (in a format not linked to individuals) may also be used to help target the marketing of our qualifications.

Name, address, e-mail, telephone, and date of birth, will be retained indefinitely in our encrypted database. This is retained so that we may confirm the validity of any qualification awarded, and provide you with a replacement parchment in the future.


None of the information above will be disclosed to any person or organisation unless detailed below, required by law, regulatory requirement, or for performing our training and qualification functions.

Where a student is sponsored by an organisation, and the fees were paid by that organisation and/or the organisation name features on the invoice, all information in relation to academic performance and progress may be disclosed to the employer on request.

Your name, address, e-mail, telephone, disability information may be disclosed to an Ofqual approved awarding organisation for the purposes of awarding your qualification.

All of our tutors are direct employees, however, we may disclose your name, e-mail and telephone details should we use external tutors in the future. This will only be for the purposes of academic assistance.

We often use external assessors for the marking of assessments. Only your name will be disclosed to assessors for the purpose of validating the student number to prevent errors.

We may also disclose the existence of a qualification and the grade if asked by an employer, potential employer, or their agent. We will require the requestor to definitively identify an individual by their full name and date of birth. In these circumstances, we will only disclose if a qualification has been awarded, and any associated grade. This is for the prevention and detection of crime.

Where an adverse finding has been made in accordance with the NCRQ Malpractice Policy, we may disclose the findings to a) where a student is sponsored by an employer or other organisation, that organisation; b) a relevant professional body, such as (but not limited to) IOSH and IIRSM; c) the police or other law enforcement bodies.

Finally, we will use your full name in our online learning platforms. This will be visible to other students if you participate in group activities or submit questions to any of the forums. This is to foster a friendly, supportive, and personal learning environment. If you do not wish your name to be shared in this way, please contact our Student Support Team and we will remove it.

Essential cookies

Cookies are small text files that are uploaded by our website and stored on your computer. Some of these are essential. We use essential cookies to handle the online enrolment process, and to process payments. We also need to use cookies for our online learning portal – myNCRQ. None of these cookies contain personal details.

We also collect some additional information during your use of this website, in the form of cookies. As mentioned above, these are small text files that are uploaded to your computer from our website.

We use these non-essential cookies to monitor the usage of our website and for market research. The information can be used to improve the quality and accessibility of our website.

We are not able to gather any information from any individuals. However, we do work with Google Analytics to gain an insight into the range of people using our site, including viewing habits and how they found the site, in order to monitor the effectiveness of our marketing.

Additionally, we may contact you occasionally to undertake a customer satisfaction or alumni survey, or to offer additional qualifications that may interest you.
